Life happens. Here's a calm, in-order checklist that protects your job, your coworkers, and you.
It happens to everyone. Your child wakes up with a fever. Your car won't start. A family emergency comes out of nowhere. Or you just know, deep down, that you're too sick or too tired to work safely. When you realize you can't make a shift, it's easy to panic. This checklist walks you through what to do, in order, so you protect your job, your coworkers, and yourself.
Your options depend almost entirely on how far away the shift is. A shift next week gives you lots of choices. A shift in three hours gives you very few. Before doing anything else, look at the exact start time and work out how much time you have. That tells you which of the steps below to focus on.
If you're ill, injured, or dealing with a real emergency, don't try to tough it out and don't spend precious time hunting for a trade. Call out the official way your company requires, as early as you possibly can. Working sick or exhausted puts you and the people around you at risk, and your company has a process for exactly this situation. Your contract or employee handbook explains the rules, including how much notice is expected and whether you'll need any paperwork.
If the shift is days or weeks away and you simply have a conflict, trading is usually the best option. It keeps your record clean and gives the shift to someone who actually wants the hours.
Finding someone willing to take your shift is only half the job. The trade has to go through your airline's own scheduling system and be approved if your company requires it. Until the change shows up on your schedule, you are still responsible for that shift. Check your schedule after the trade goes through to make sure everything is correct.
Sometimes nobody bites. If the shift is getting close and it's still yours, contact your scheduling department or supervisor before the last minute. Explain the situation honestly and ask what your options are. Depending on your company's rules, there may be choices you didn't know about. What almost never works is waiting and hoping the problem solves itself.
You can't prevent every emergency, but you can cut down on last-minute scrambles:
